General information on data processing

1. Scope of the processing of personal data

The protection of personal data is a very important concern for the Robert Koch Institute (RKI). As a federal authority, the Robert Koch Institute is subject to the provisions of the EU General Data Protection Regulation (GDPR) and the Federal Data Protection Act (BDSG). In principle, it is possible to use the RKI's website (www.daly.rki.de) without disclosing personal data. When using the contact form, and when contacting the RKI by telephone, personal data is processed. Automated decision-making (so-called profiling) does not take place.

Personal data is information that relates to an identified or identifiable person. This includes information that allows conclusions to be drawn about your identity. Further definitions of the terms used (e.g. 'processing') can be found in Art. 4 GDPR.

As new technologies and the constant development of this website may result in changes to this data protection declaration, we recommend that you read through the data protection declaration again at regular intervals.

2. Storage period

The storage is carried out in accordance with the guideline for the processing and administration of written material in federal ministries, which is implemented in the RKI as the Registry Guideline (RegR).


Technical provision of the website, statistics and cookies

These Internet pages are hosted by the company BIOHost. You can find the privacy policy of BIOHost here.

This website uses 'cookies', which are small text files placed on your computer, to help the website analyze how users use the site. These 'session cookies' are only temporarily stored on your computer, as soon as the web browser is closed, they are deleted again. The information generated by cookies about your use of our website is stored on a server of the provider in Germany for 7 days and then deleted. Data collected will not be passed on to third parties and will only be evaluated if necessary.

Every time a user accesses the RKI's website and every time a file is retrieved, data about this process must be temporarily processed in a log file. Your IP address is temporarily stored in the access logs of the web servers of our hosting platform. BIOHost follows the applicable data protection regulations.

In detail, the following data is processed for each access / retrieval:

  • IP address
  • Access time
  • Browser and version
  • Operating system
  • Referrer (if available)
  • Server path
  • Amount of data transferred
  • Request method
  • The log files are deleted after 7 days.

Revocation of data collection

You may refuse the use of cookies by selecting the appropriate settings on your browser, however please note that if you do this you may not be able to use the full functionality of this website. If you wish to generally prevent the analysis of your behaviour on the Internet, we recommend that you activate this option in your browser.


Electronic correspondence

The website www.daly.rki.de offers the possibility to contact staff members of the Institute, to send messages, to make inquiries or to inform oneself about topics concerning Burden of Disease.

As a rule, we use forms for this purpose. For reasons of data protection, the mandatory fields of the forms have been limited to the minimum necessary to answer enquiries. The personal data you provide will only be used to answer your inquiry. They will not be passed on to third parties and will not be used for any other purposes of our own. Your data will be transmitted encrypted by a 'Secure Socket Layer' connection (SSL) so that unauthorized persons cannot view it (https connection).

Contact forms

In email contact forms, we collect the following categories of data: Mandatory field and automatically collected data: First name and surname, email, subject, message text, date and time the form was sent. Voluntary information: telephone number, fax number, institution, street, postcode, place of residence.

The storage of inquiries in electronic form is carried out in accordance with the time limits of the RKI's Registry Guideline applicable to the storage of written documents - based on the Registry Guideline for the Processing and Management of Written Documents in Federal Ministries, which supplements the Joint Rules of Procedure of the Federal Ministries (GGO).

The processing of your data is based on your consent, contract (in the case of orders) and the tasks of the RKI in the public interest (Art. 6 para.1lit.a, lit. b, lit. e DSGVO in conjunction with § 2, § 4 BGA-NachfG), in particular the information of the public. You can revoke your consent to further processing at any time with effect for the future. If retention periods stand in the way of deletion, the data will be restricted in processing. Contact us by phone/fax

You can also contact us at the telephone and fax numbers provided. In this case, the following categories of data are stored:

a) Telephone call

Name, telephone number, all content details

b) Telefax

Sender, name, device number, time of transmission, content information

As a rule, telephone calls are stored by means of a telephone memo, faxes by storing the printout. The storage period is governed by the time limits applicable to the storage of written material in the RKI's Registration Guideline - based on the Registration Guideline for the Processing and Management of Written Material in Federal Ministries, which supplements the Joint Rules of Procedure of the Federal Ministries (GGO).

The processing of your data is based on your consent (Art. 6 para.1lit.a DSGVO). You can revoke your consent to further processing at any time with effect for the future. If retention periods prevent the deletion, the data will be restricted in processing. You can find more information in the section 'Your data protection rights'.


Your data protection rights (rights of the data subject)

As far as we process personal data from you, you are entitled to the following data protection rights:

  • the right to obtain information about the processing of your personal data at any time (Art. 15 DSGVO),
  • the right to rectify inaccurate data or complete incomplete data (Art. 16 DSGVO),
  • the right to have data deleted or to have its processing restricted in accordance with the legal requirements (e.g. in the event of revocation of your consent or unlawful processing) (Art. 17, 18 DSGVO),
  • the right, in the case of data processing based on consent, to revoke your consent at any time with effect for the future (Art. 7 (3) DSGVO),
  • the right to data portability (you can be provided with an overview of your data in an electronic format) (Art. 20 DSGVO),
  • the right to object to data processing carried out for reasons of legitimate interest of the RKI, for the performance of public tasks or in the exercise of official authority (Art. 21 DSGVO),
  • the right to contact the Data Protection Officer of the RKI contact and raise your concerns (Article 38(4) of the GDPR), and

The RKI takes the current discussion about data protection in social networks very seriously. It is currently not conclusively clarified in legal terms whether and to what extent all networks offer their services in accordance with European data protection regulations.

We therefore expressly draw attention to the fact that the services used by the RKI, Twitter and YouTube, store the data of their users (e.g. personal information, IP address) in accordance with their data usage guidelines and use it for business purposes.

The RKI has no influence on the collection of data and its further use by the social networks. Thus, there is no knowledge about the extent to which, where and for how long the data is stored, to what extent the networks comply with existing deletion obligations, what evaluations and links are made with the data and to whom the data is passed on.
